Deposits & Payments
Non-refundable Deposits & Non-refundable Retainer Fee
Once you have selected an Officiant package and spoke with Hudson Valley Officiants to confirm the availability of our Officiants, we require you to sign, date and return all 6 pages of a non-refundable contract. Once the non-refundable contract is returned, full non-refundable retainer fee is required for our Elopement, Silver, Silver Plus, Bronze & Bronze Plus Packages. If you are booking the Gold package, a 75% non-refundable deposit is required to secure the date and time, with final non-refundable payment is due 30 days prior to your ceremony.
The non-refundable contract alone or the non-refundable payment alone will not secure our services. We must have both the signed non-refundable contract and non-refundable retainer fee to confirm our services. It is important that you return your non-refundable contract and non-refundable payment immediately, so we can secure the date & time. If you do not return your non-refundable contract within the specified time or do not make your non-refundable payment within the specified time, your date may be taken by another couple. Please understand that we do not hold dates or guarantee availability. When we request tentative contract information from you, it should be returned immediately. When we send over your tentative contract, it should be returned immediately, When we send your tentative invoice, it should be returned immediately. Multiple tentative contracts may be issued for the date, the date is secured to the couple that returns their tentative contract and makes payment.
We do not guarantee availability based on conversation, future appointments or tentative contracts. Both a physical non-refundable contract and non-refundable payment are required to guarantee our services. Final non-refundable payment will be due 30 days prior to your ceremony for our Gold packages. If you do not make non-refundable final payment by due date, we will assume your wedding has been cancelled and you no longer require our services. The date will be removed from our schedule and your initial payment remains non-refundable.
Please understand that it is your responsibility to read and follow our booking procedures. Since availability changes with the next call or email, availability for your date may be lost within minutes or may remain open for months...we never know. If we request a completed contract or payment within as little time as 30 minutes it is because another couple is interested in your same date & time. If you choose to take longer, the responsibility of loosing the officiants availability rests upon you, so please do not be upset with us.
Please note, when you sign your non-refundable contract you are agreeing to the entire amount of your package. If you place a non-refundable deposit for the Gold packages and then cancel, you are still obligated, under your contract, for the remaining balance.
Policy
Please note, Hudson Valley Officiants cannot secure your date and time without a non-refundable contract and a non-refundable retainer fee. Hudson Valley Officiants availability changes by the minute. When we advise that we are available, this is only an offer of services but not a guarantee of availability. Hudson Valley Officiants only holds dates with both a physically signed non-refundable contract and non-refundable retainer fee. We must have both the signed non-refundable contract and non-refundable retainer fee to confirm our services. We do not hold or guarantee dates based on tentative contracts, telephone calls, emails, future appointments or after a call or in-office appointment.
Payments
Cash and Credit Card payments are only accepted as non-refundable retainers and non-refundable final payments. We do not accept personal checks. If you wish to confirm immediately you must call us directly so we can email your invoice and you can pay directly online. We do not accept payments over the telephone. You must physically pay online after acknowledging the contract terms.

Credit Card Payments:
If paying by credit card Hudson Valley Officiants accepts Visa, Master Card, Discover and American Express. Please contact us directly to pay by Credit Card directly online.
Final Payments
Non-refundable Final payments, for the Gold Packages, are due 30 days prior to ceremony. Hudson Valley Officiants will give you the exact date when you place your non-refundable retainer. Late payments are subject to a $25.00 late payment fee. If you do not make non-refundable final payment by due date, we will assume your wedding has been cancelled and you no longer require our services. The date will be removed from our schedule and your initial payment remains non-refundable.
Cancellations
Retainer Fees and Final Payments are non-refundable even if due to sickness, marriage cancellation, pandemic or for any other possible reason. If you cancel your wedding even a few days after you book, your retainer fee is non-refundable. If you change your date, your retainer fee is non-refundable. If you change the time or location, and we are unable to accommodate you, your retainer fee is non-refundable. Hudson Valley Officiants does not apply non-refundable retainer fees toward future dates. However, only if due to COVID-19, Hudson Valley Officiants will allow a 1 time postponement. There is no fee for this 1 time postponement and you are permitted to postpone for only 1 year from the date of the original ceremony listed on your contract, not 1 year from your postponement date.. Refunds are not given due to COVID-19. COVID-19 postponements will not be accepted after May 21 2021 as weddings are now taking place with little or no restrictions.
Marriage License
You must have a valid Marriage License in order for Hudson Valley Officiants to perform your Marriage Ceremony. If you cannot present Hudson Valley Officiants with a Marriage License prior to the ceremony, Hudson Valley Officiants cannot perform any type of Marriage Ceremony. If you forget your Marriage License, the day of your Wedding ceremony, you must send someone to get the Marriage License. If you cannot get the Marriage License prior to the Wedding Ceremony, we cannot officiate your Wedding Ceremony and must leave. If Hudson Valley Officiants leaves, because you do not have a Marriage License, there will be no refunds and Hudson Valley Officiants assumes no liability.

Catholic & Religious Ceremonies
The Catholic church and some other religions do not accept any ceremony performed outside of the church
and is usually only considered a civil ceremony.
Weather:
Hudson Valley Officiants does not walk, hike, or officiate any ceremony outside while it is raining or snowing. Please make sure you have an alternate indoor location or are able to reschedule if it is raining or snowing.
